See where no-shows and late cancels are eating your schedule

A no-show on a surgery or dental morning leaves a doctor, a tech, and a room idle. Front desk staff know a few repeat offenders, but nobody sees the pattern by day of week or appointment type until a month of open slots has already passed.

What it can cost you

Example: 6 missed appointments a week x $220 average invoice x 50 weeks = $66,000 a year in empty slots. An illustration, not a promise. Your Opportunity Scan puts a real number on it.

What the system checks overnight

  • Counts no-shows and same-day cancels by day of week, doctor, and appointment type.
  • Lists clients with two or more missed appointments in a rolling window.
  • Checks whether missed appointments had a confirmation sent and answered.
  • Flags surgery and dental slots booked without a deposit when your policy calls for one.
  • Compares this month's missed rate to the same month last year.

Where it reads from

  • IDEXX Neo

What happens when it fires

You decide on a policy, like deposits for surgery or a second confirmation. The system drafts confirmation messages and flags repeat clients before their next booking.

Autonomy level: Draft for approval. The system prepares the message or task, and you approve it before anything goes out.

What we guarantee

Missed-appointment counts by doctor and day are refreshed in every morning brief. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.

Questions

Will it charge clients a no-show fee?

Not on its own. It shows you who missed and whether a deposit was on file. Charging any fee stays your decision.

Our confirmations come from a separate tool. Does that matter?

It reads confirmation status from tools like Weave where it can, then matches it to the appointment in your practice software.

Do I need new software for this?

No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.

What does it cost?

A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.

How is this different from a dashboard app or a free AI kit?

A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
