For Independent durable and home medical equipment suppliers, including CPAP and respiratory resupply, oxygen, and mobility
Catch DME items whose cost is creeping past the payer allowable
Your vendor raises the price of a mask or a wheelchair component, while the payer allowable for that HCPCS code stays flat or drops at the next fee schedule update. Nobody compares the two, so you keep supplying an item that now loses money on every delivery.
What it can cost you
Example: $9 more per mask x 400 masks a month = $3,600 a month in margin gone before anyone notices. An illustration, not a promise. Your Opportunity Scan puts a real number on it.
What the system checks overnight
- Compares vendor invoice cost per item with the allowed amount by payer and HCPCS code.
- Flags items whose margin turned negative or dropped below your floor.
- Watches published fee schedule updates for the codes you bill most.
- Flags vendor price changes on your top items compared with the last purchase.
- Shows which payers make an item lose money.
Where it reads from
- QuickBooks Online
- Brightree
- NikoHealth
- Bonafide
- Computers Unlimited TIMS
- Published fee schedules (outside data)
Published Medicare and payer fee schedule updates for the HCPCS codes you bill most.
What happens when it fires
The owner sees which items and payers lost margin, and the system suggests options such as asking another vendor for a quote. Pricing and contracting decisions stay with you.
Autonomy level: Suggest only. The brief tells you what changed and what to do. Nothing happens without you.
What we guarantee
Margin by item and payer is recalculated every time a vendor invoice or fee schedule update lands. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.
Questions
Where does it get our costs?
From vendor bills in QuickBooks Online or purchase orders in your billing system. If costs are spread across several places, it tells you which items it could not match.
Will it tell us to drop a payer?
No. It shows the numbers by payer and item. Contract decisions are yours.
Do I need new software for this?
No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.
What does it cost?
A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.
How is this different from a dashboard app or a free AI kit?
A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
