For Water, fire, and mold restoration companies doing mitigation and rebuild work
Track restoration payments stuck with carriers and mortgage companies
A claim is approved, but the check goes to the homeowner, or it names the mortgage company and needs their sign-off. The homeowner holds it, or the endorsement takes weeks, and your invoice ages. Nobody chases it because the job is technically done.
What it can cost you
Example: 6 jobs with checks stuck at endorsement at $9,500 average = $57,000 sitting outside your bank.An illustration, not a promise. Your Opportunity Scan puts a real number on it.
What the system checks overnight
- Lists approved claims with no payment received past your window.
- Flags checks known to be with the homeowner or the mortgage company and not yet deposited.
- Flags aging homeowner balances, like deductibles.
- Matches deposits in QuickBooks to the right jobs and flags the unmatched ones.
- Totals AR by carrier, by age, and by job type.

What happens when it fires
Your office makes the calls and sends the drafts. The system drafts each follow-up with the claim number, the amount, and where the payment is stuck.
Autonomy level: Draft for approval. The system prepares the message or task, and you approve it before anything goes out.
What we guarantee
Every approved claim is checked for payment daily, with a follow-up drafted when it stalls. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.
Questions
Can it advise us on lien rights or collections?
No. It tracks payments and drafts friendly follow-ups. For legal questions about collections, talk to your attorney.
Does it work when the homeowner pays us directly?
Yes. Direct payments, carrier payments, and mortgage company checks all match back to the job, and anything still open shows up in the aging.
Do I need new software for this?
No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.
What does it cost?
A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.
How is this different from a dashboard app or a free AI kit?
A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
More alarms for property restoration
Seven more things worth watching.
- Dry jobs not billedFlag water jobs that hit dry standard and had equipment pulled, but still have no estimate uploaded or invoice sent.
- Estimates stuck in carrier reviewTrack every estimate sent to a carrier or TPA, flag the ones with no review or payment, and see which carriers are slowest.
- Jobs stalled between mitigation and rebuildFlag losses where mitigation is done but the rebuild is not estimated, signed, or scheduled, before the customer goes elsewhere.
- Drying equipment left on siteCompare moisture readings and equipment logs to catch air movers and dehus sitting on dry jobs or missing from the warehouse count.
- Missing moisture logs and photosCheck every active water job for daily readings, photos, and signed forms, so documentation gaps get fixed while the job is open.
- Labor running past the estimateCompare paid crew hours to the labor your Xactimate estimate supports, job by job, so you see margin slip while the job is open.
- Carrier program deadlines at riskTrack contact, arrival, and estimate upload deadlines on program jobs, and flag the ones about to miss before your scorecard takes the hit.
