For Water, fire, and mold restoration companies doing mitigation and rebuild work
Catch missing moisture logs before the carrier reviews the job
Carriers and program desks want daily readings, photos, and signed paperwork. When a tech skips a reading or forgets the authorization, it rarely shows up until the estimate gets reduced or kicked back. By then the walls are closed and the reading cannot be retaken.
What it can cost you
Example: 4 estimates a month reduced for missing documentation at $900 each = $3,600 a month. An illustration, not a promise. Your Opportunity Scan puts a real number on it.
What the system checks overnight
- Flags active jobs missing yesterday's moisture readings.
- Flags jobs missing required photo sets, like source of loss, affected areas, and equipment placement.
- Flags jobs with no signed work authorization or other required forms on file.
- Flags estimates about to be uploaded with gaps in the file.
- Tracks documentation completeness by tech and by crew.
Where it reads from
- Encircle
- DASH
- PSA
- Xactimate
What happens when it fires
Techs get a reminder while the job is still open. Once you approve the wording, the system sends those reminders on its own every morning.
Autonomy level: Run with a log. The system handles it on its own within limits you set, and records every action for you to check.
What we guarantee
Every active water job is checked for its daily readings and required photos every day. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.
Questions
Does it decide whether a job is dry?
No. It checks that readings and photos exist on schedule. Drying decisions stay with your techs and your standards.
Which tools does it read from?
Most often Encircle for readings and photos, plus your job software for paperwork. It reads from what your crews already use.
Do I need new software for this?
No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.
What does it cost?
A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.
How is this different from a dashboard app or a free AI kit?
A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
More alarms for property restoration
Seven more things worth watching.
- Dry jobs not billedFlag water jobs that hit dry standard and had equipment pulled, but still have no estimate uploaded or invoice sent.
- Estimates stuck in carrier reviewTrack every estimate sent to a carrier or TPA, flag the ones with no review or payment, and see which carriers are slowest.
- Jobs stalled between mitigation and rebuildFlag losses where mitigation is done but the rebuild is not estimated, signed, or scheduled, before the customer goes elsewhere.
- Drying equipment left on siteCompare moisture readings and equipment logs to catch air movers and dehus sitting on dry jobs or missing from the warehouse count.
- Labor running past the estimateCompare paid crew hours to the labor your Xactimate estimate supports, job by job, so you see margin slip while the job is open.
- Carrier program deadlines at riskTrack contact, arrival, and estimate upload deadlines on program jobs, and flag the ones about to miss before your scorecard takes the hit.
- Claim payments stuckFlag approved claims with no payment, checks waiting on mortgage company endorsement, and homeowner balances aging in AR.
