For Water, fire, and mold restoration companies doing mitigation and rebuild work
Follow up on restoration estimates stuck in carrier review
Once the estimate goes up, the job feels done. But it can sit in review, get kicked back for a missing photo, or be approved with no payment following. Without a daily check, those jobs age quietly in AR.
What it can cost you
Example: 12 estimates in review past your window at $6,200 average = $74,400 waiting on a nudge. An illustration, not a promise. Your Opportunity Scan puts a real number on it.
What the system checks overnight
- Lists uploaded estimates with no review status change past your follow-up window.
- Flags estimates returned for corrections that have not been resubmitted.
- Flags approved estimates with no payment received.
- Tracks review time and reduction amounts by carrier and by desk adjuster.
- Flags hidden damage noted on site that never made it into a supplement.

What happens when it fires
Your estimator fixes and resubmits. The system lists what each returned estimate needs and drafts a follow-up to the adjuster on the ones that are just slow.
Autonomy level: Draft for approval. The system prepares the message or task, and you approve it before anything goes out.
What we guarantee
Every estimate in review is checked daily, and any stall shows up in the next morning brief. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.
Questions
Does it negotiate with the carrier for us?
No. It tracks status and drafts polite follow-ups. Negotiating scope stays with your estimator.
We do some jobs outside any carrier program. Are those covered?
Yes. Direct jobs get the same check: estimate sent, response, approval, and payment, just without the program portal.
Do I need new software for this?
No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.
What does it cost?
A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.
How is this different from a dashboard app or a free AI kit?
A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
More alarms for property restoration
Seven more things worth watching.
- Dry jobs not billedFlag water jobs that hit dry standard and had equipment pulled, but still have no estimate uploaded or invoice sent.
- Jobs stalled between mitigation and rebuildFlag losses where mitigation is done but the rebuild is not estimated, signed, or scheduled, before the customer goes elsewhere.
- Drying equipment left on siteCompare moisture readings and equipment logs to catch air movers and dehus sitting on dry jobs or missing from the warehouse count.
- Missing moisture logs and photosCheck every active water job for daily readings, photos, and signed forms, so documentation gaps get fixed while the job is open.
- Labor running past the estimateCompare paid crew hours to the labor your Xactimate estimate supports, job by job, so you see margin slip while the job is open.
- Carrier program deadlines at riskTrack contact, arrival, and estimate upload deadlines on program jobs, and flag the ones about to miss before your scorecard takes the hit.
- Claim payments stuckFlag approved claims with no payment, checks waiting on mortgage company endorsement, and homeowner balances aging in AR.
