For Water, fire, and mold restoration companies doing mitigation and rebuild work
Find drying equipment left on site after the job is dry
Air movers and dehumidifiers keep running after readings hit goal because nobody scheduled the pickup. Carriers will not pay for those extra days, and meanwhile the next loss is short on equipment. Some units never make it back to the warehouse log at all.
What it can cost you
Example: 15 units left 3 extra days at $35 a day in lost use = $1,575 a month, plus rentals you did not need.An illustration, not a promise. Your Opportunity Scan puts a real number on it.
What the system checks overnight
- Flags jobs where readings hit goal but equipment is still logged on site.
- Compares equipment days logged to the days the readings support.
- Lists units placed on jobs that are now closed but never checked back in.
- Flags days you rented outside equipment while your own units sat on dry jobs.
- Flags jobs missing daily readings while equipment is placed.

What happens when it fires
Your equipment manager schedules the pickups. The system drafts a pickup route grouped by area and updates the list as units check in.
Autonomy level: Draft for approval. The system prepares the message or task, and you approve it before anything goes out.
What we guarantee
Every placed unit is checked against its job's readings daily, and no unit on a closed job goes unflagged. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.
Questions
Do we need asset tags on every unit?
It works best with them, since it can track each unit. Without tags it works at the job level, comparing units placed to units picked up.
Will this lower what we can bill?
It is about billing what the readings support and getting equipment back to work. Equipment days a carrier rejects were never going to be paid.
Do I need new software for this?
No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.
What does it cost?
A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.
How is this different from a dashboard app or a free AI kit?
A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
More alarms for property restoration
Seven more things worth watching.
- Dry jobs not billedFlag water jobs that hit dry standard and had equipment pulled, but still have no estimate uploaded or invoice sent.
- Estimates stuck in carrier reviewTrack every estimate sent to a carrier or TPA, flag the ones with no review or payment, and see which carriers are slowest.
- Jobs stalled between mitigation and rebuildFlag losses where mitigation is done but the rebuild is not estimated, signed, or scheduled, before the customer goes elsewhere.
- Missing moisture logs and photosCheck every active water job for daily readings, photos, and signed forms, so documentation gaps get fixed while the job is open.
- Labor running past the estimateCompare paid crew hours to the labor your Xactimate estimate supports, job by job, so you see margin slip while the job is open.
- Carrier program deadlines at riskTrack contact, arrival, and estimate upload deadlines on program jobs, and flag the ones about to miss before your scorecard takes the hit.
- Claim payments stuckFlag approved claims with no payment, checks waiting on mortgage company endorsement, and homeowner balances aging in AR.
