Catch contractor accounts sliding past terms while they are still renting

A contractor keeps renting while their invoices age. The counter sees a good customer, the office sees a growing balance, and nobody connects the two until it is a collections problem. On construction jobs, missed notice dates can make collecting even harder.

What it can cost you

Example: $80,000 in contractor AR past terms, carried an extra 45 days at a 9% cost of money = about $890 in interest, before any write-off.An illustration, not a promise. Your Opportunity Scan puts a real number on it.

What the system checks overnight

  • Tracks AR aging per customer and how fast each account has been paying lately.
  • Flags accounts over their credit limit or past terms that are still opening new contracts.
  • Flags accounts whose average days to pay is getting longer.
  • Tracks the jobsite notice dates you or your lien service set for each project.
  • Lists invoices disputed or short paid and how long they have sat.

Where it reads from

  • Point of Rental, Wynne Systems, InTempo, Texada, Quipli, or Alert EasyPro
  • QuickBooks Online

What happens when it fires

You decide whether to hold new rentals or call the customer. The system drafts the statement and reminder email and flags the account at the counter.

Autonomy level: Draft for approval. The system prepares the message or task, and you approve it before anything goes out.

What we guarantee

Every open invoice aged daily, and every new contract checked against the customer's balance before it goes out. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.

Questions

Will it tell us when to file a lien?

No. Lien and notice rules are a call for your attorney or lien service. It tracks the dates you give it so none slip by.

Can it stop the counter from renting to an account on hold?

It flags the account in the morning brief and can draft a counter alert. Holding the account in your rental software is still a setting your team controls.

Do I need new software for this?

No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.

What does it cost?

A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.

How is this different from a dashboard app or a free AI kit?

A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
