For Independent construction, general, and party rental yards, single location or a few branches

Make sure fuel, damage, and cleaning get charged on every return

A unit comes back low on fuel, muddy, or with a cracked part. The yard hand notes it, or a work order opens a day later, but the charge never makes the invoice. The repair cost lands on you.

What it can cost you

Example: 25 returns a month missing a $60 fuel or cleaning charge = $1,500 a month, before any damage. An illustration, not a promise. Your Opportunity Scan puts a real number on it.

What the system checks overnight

  • Compares fuel level and condition notes at return to fuel and cleaning charges on the final invoice.
  • Flags damage work orders opened soon after a return with no damage charge on that contract.
  • Flags missing attachments or accessories at return with no replacement charge.
  • Tracks damage waiver sold versus damage repairs, by customer.
  • Lists charges your team waived and who waived them.

Where it reads from

  • Point of Rental, Wynne Systems, InTempo, Texada, Quipli, or Alert EasyPro
  • QuickBooks Online

What happens when it fires

Your office reviews and adds the charge or decides to waive it. The system drafts the charge with the return notes and photos for the customer.

Autonomy level: Draft for approval. The system prepares the message or task, and you approve it before anything goes out.

What we guarantee

Every closed contract checked against its return inspection and any work order opened after it, within a day. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.

Questions

Our yard does inspections on paper. Can it use them?

If the notes or photos make it into your rental software or a shared folder, yes. Moving check-in onto a tablet makes this much stronger.

We waive charges for good customers on purpose. Is that okay?

Yes. Waivers you choose show up as waived, not missed. The point is that it is a decision.

Do I need new software for this?

No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.

What does it cost?

A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.

How is this different from a dashboard app or a free AI kit?

A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
