For Independent construction, general, and party rental yards, single location or a few branches
Catch rental rates slipping below book at the counter
Counter staff discount to win the rental, especially for regulars. Over time the book rate is just a starting point and nobody knows how far below it the yard really rents. Two customers pay very different rates for the same machine.
What it can cost you
Example: $150,000 a month in rental revenue realized at 8% under book where discounts were not needed = $12,000 a month. An illustration, not a promise. Your Opportunity Scan puts a real number on it.
What the system checks overnight
- Compares realized rate to book rate on every contract by class and branch.
- Breaks discounting down by counter rep and by customer.
- Flags discounts beyond your approval limit with no manager approval noted.
- Flags customers paying very different rates for the same class.
- Flags contracts billed at a daily rate when a weekly or monthly rate would apply.
Where it reads from
- Point of Rental, Wynne Systems, InTempo, Texada, Quipli, or Alert EasyPro
What happens when it fires
You or the GM talk with the counter team and review customer rate agreements. The system lists contracts and reps outside your rules and drafts a simple discount guide.
Autonomy level: Suggest only. The brief tells you what changed and what to do. Nothing happens without you.
What we guarantee
Realized versus book rate checked on every new contract daily, with discounts outside your rules flagged next morning. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.
Questions
Some customers have negotiated rates. Will those show as problems?
No. Once you mark a customer's agreed rates, it checks contracts against those instead of book.
Is this meant to police the counter staff?
It is meant to make discounting visible. Often it shows a rep needs clearer rules, not that they did anything wrong.
Do I need new software for this?
No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.
What does it cost?
A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.
How is this different from a dashboard app or a free AI kit?
A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
More alarms for equipment and tool rental yards
Seven more things worth watching.
- Idle fleet tying up capitalTrack idle days and idle capital per unit and class, and spot units sitting at one branch while another turns away the same class.
- Turning away rentals for lack of unitsTrack quotes and reservations lost because a class was out or down for repair, so you know where to redeploy, repair faster, or buy.
- Unbilled rental daysCatch contracts past their return date with no cycle invoice, off-rent calls with no pickup, and returns left open, so every day on rent is billed.
- Damage, fuel, and cleaning not chargedCompare return inspections and work orders to final invoices, so fuel, damage, cleaning, and missing parts get charged instead of written off.
- Units costing more to fix than they earnTrack lifetime revenue, repair cost, and downtime per unit, so the money-pit machines get sold before they drain another season of profit.
- Delivery charges not covering truckingCompare delivery and pickup charges to driver time, fuel, and truck cost per job, so you stop giving away the trucking on long and slow runs.
- Contractor accounts sliding past termsWatch AR aging by customer, flag accounts renting more while paying slower, and track the notice dates you set, so slow payers do not grow.
