Spot units that cost more to repair than they earn
A few units are always in the shop. They still look like fleet on paper, so they stay. Every repair is approved one at a time, and nobody adds up what that machine has cost against what it brings in.
What it can cost you
Example: 3 units that each cost $9,000 a year in repairs while earning $7,000 in rent = $6,000 a year lost, plus the rentals they could not cover. An illustration, not a promise. Your Opportunity Scan puts a real number on it.
What the system checks overnight
- Totals lifetime rental revenue, repair cost, and acquisition cost per unit.
- Tracks maintenance cost as a share of revenue by unit and by class.
- Counts downtime days per unit and repeat work orders for the same problem.
- Flags units whose repair spend over recent months is higher than their rental revenue.
- Flags units overdue for preventive service by hour meter or days since last service.
Where it reads from
- Point of Rental, Wynne Systems, InTempo, Texada, Quipli, or Alert EasyPro
- QuickBooks Online (parts and outside repair bills)
Used equipment auction and dealer listings for those models, to compare repair spend to what the unit would sell for.
What happens when it fires
You decide to keep, rebuild, or sell. The system drafts a keep or sell summary for each flagged unit with its numbers and recent auction prices.
Autonomy level: Suggest only. The brief tells you what changed and what to do. Nothing happens without you.
What we guarantee
Revenue, repair cost, and downtime rolled up for every unit weekly, with units past your repair limit listed first. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.
Questions
Our shop records labor in the rental software but parts in QuickBooks. Is that a problem?
No. It reads both and ties parts bills to units by work order or unit number. When it cannot match a bill, it asks.
What counts as too much repair?
You set the limit, often as a share of revenue or of the unit's resale value. The system flags against your rule.
Do I need new software for this?
No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.
What does it cost?
A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.
How is this different from a dashboard app or a free AI kit?
A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
More alarms for equipment and tool rental yards
Seven more things worth watching.
- Idle fleet tying up capitalTrack idle days and idle capital per unit and class, and spot units sitting at one branch while another turns away the same class.
- Turning away rentals for lack of unitsTrack quotes and reservations lost because a class was out or down for repair, so you know where to redeploy, repair faster, or buy.
- Unbilled rental daysCatch contracts past their return date with no cycle invoice, off-rent calls with no pickup, and returns left open, so every day on rent is billed.
- Rental rates slipping below bookCompare realized rates to book rates on every contract by class, customer, and counter rep, so discounting stays a choice and not a habit.
- Damage, fuel, and cleaning not chargedCompare return inspections and work orders to final invoices, so fuel, damage, cleaning, and missing parts get charged instead of written off.
- Delivery charges not covering truckingCompare delivery and pickup charges to driver time, fuel, and truck cost per job, so you stop giving away the trucking on long and slow runs.
- Contractor accounts sliding past termsWatch AR aging by customer, flag accounts renting more while paying slower, and track the notice dates you set, so slow payers do not grow.
