Find rental days that never got billed

A long-term rental rolls past its date and the next cycle invoice never generates. A customer calls off-rent, the pickup sits for days, and nobody knows who should pay. A unit comes back but the contract stays open, so the record is wrong in both directions.

What it can cost you

Example: 12 rental days a month slipping through at $350 a day = $4,200 a month, or $50,400 a year.An illustration, not a promise. Your Opportunity Scan puts a real number on it.

What the system checks overnight

  • Lists open contracts past their expected return date with no current cycle invoice.
  • Flags long-term rentals whose next billing cycle should have generated but did not.
  • Flags off-rent calls with no pickup dispatched after a set number of days.
  • Finds units checked back in on the yard while their contract is still open.
  • Compares days on rent to days billed for every closed contract.

Where it reads from

  • Point of Rental, Wynne Systems, InTempo, Texada, Quipli, or Alert EasyPro
  • QuickBooks Online

What happens when it fires

Your office manager reviews and sends. The system drafts the missing cycle invoices and a short note to customers whose off-rent date is unclear.

Autonomy level: Draft for approval. The system prepares the message or task, and you approve it before anything goes out.

What we guarantee

Days on rent matched to days billed for every contract, every night, with gaps listed in the next brief. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.

Questions

Our software is supposed to cycle bill automatically. How would days slip?

Cycle billing depends on dates and settings on each contract. A manual change, an exchange, or a split contract can break it, and nothing tells you when it does.

Will it bill customers on its own?

No. It drafts the invoice and shows why, and your team sends it.

Do I need new software for this?

No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.

What does it cost?

A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.

How is this different from a dashboard app or a free AI kit?

A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
