Check whether your delivery and pickup charges cover your trucking cost
Delivery is priced from a zone sheet that is years old. Long runs, waiting on site, and second trips for the wrong attachment all come out of your pocket. The counter waives delivery to win the rental and nobody adds up the cost.
What it can cost you
Example: 120 delivery and pickup jobs a month losing $35 each against driver and truck cost = $4,200 a month. An illustration, not a promise. Your Opportunity Scan puts a real number on it.
What the system checks overnight
- Compares delivery and pickup revenue to driver hours, fuel, and truck cost per job.
- Flags jobs where delivery was waived or discounted.
- Flags long runs priced in a near zone.
- Counts second trips and failed deliveries and whether they were charged.
- Tracks on-time delivery rate by driver and route.
Where it reads from
- Point of Rental, Wynne Systems, InTempo, Texada, Quipli, or Alert EasyPro
- QuickBooks Online (fuel and truck costs)
- Google Sheets (delivery zones)
Local diesel price data, so delivery rates can be checked against current fuel cost.
What happens when it fires
You decide whether to update zones, add a fuel surcharge, or tighten waivers. The system drafts an updated zone sheet based on your actual run times and costs.
Autonomy level: Suggest only. The brief tells you what changed and what to do. Nothing happens without you.
What we guarantee
Trucking cost recovery calculated for every delivery and pickup job each week, with waived and underpriced runs listed. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.
Questions
We do not track driver time per job. Can it still work?
It can estimate from dispatch times and distance at first. If your trucks have GPS tracking, it can use real run times.
Is delivery supposed to make money?
That is your choice. Some yards price it at cost to win rentals. This tells you whether you are at cost or below it.
Do I need new software for this?
No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.
What does it cost?
A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.
How is this different from a dashboard app or a free AI kit?
A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
More alarms for equipment and tool rental yards
Seven more things worth watching.
- Idle fleet tying up capitalTrack idle days and idle capital per unit and class, and spot units sitting at one branch while another turns away the same class.
- Turning away rentals for lack of unitsTrack quotes and reservations lost because a class was out or down for repair, so you know where to redeploy, repair faster, or buy.
- Unbilled rental daysCatch contracts past their return date with no cycle invoice, off-rent calls with no pickup, and returns left open, so every day on rent is billed.
- Rental rates slipping below bookCompare realized rates to book rates on every contract by class, customer, and counter rep, so discounting stays a choice and not a habit.
- Damage, fuel, and cleaning not chargedCompare return inspections and work orders to final invoices, so fuel, damage, cleaning, and missing parts get charged instead of written off.
- Units costing more to fix than they earnTrack lifetime revenue, repair cost, and downtime per unit, so the money-pit machines get sold before they drain another season of profit.
- Contractor accounts sliding past termsWatch AR aging by customer, flag accounts renting more while paying slower, and track the notice dates you set, so slow payers do not grow.
