Bill the detention, lumper, and layover you already paid the carrier

The carrier sends a lumper receipt or a detention charge and you pay it to keep the relationship. The charge never makes it onto the shipper invoice, or it gets billed after the shipper's deadline. It feels like the cost of doing business, and it is pure margin.

What it can cost you

Example: 40 loads a month with $85 in accessorials paid to carriers and not billed to shippers = $3,400 a month. An illustration, not a promise. Your Opportunity Scan puts a real number on it.

What the system checks overnight

  • Matches every accessorial paid to a carrier, such as detention, lumper, layover, tarp, or TONU, to a charge billed to the shipper.
  • Uses check call and arrival times to confirm detention time on the load.
  • Flags shipper invoices sent before carrier accessorials were entered.
  • Compares accessorial terms in each shipper's rate agreement to what was billed.
  • Flags accessorials close to the shipper's billing deadline.

Where it reads from

  • McLeod PowerBroker, Tai TMS, AscendTMS, Aljex, or Turvo
  • QuickBooks Online
  • Outlook (carrier receipts)

What happens when it fires

Your billing team reviews and sends. The system drafts the supplemental shipper invoices with check call times and receipts attached.

Autonomy level: Draft for approval. The system prepares the message or task, and you approve it before anything goes out.

What we guarantee

Every accessorial paid to a carrier matched to a shipper charge within a day of entry. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.

Questions

Some shippers refuse detention. Is chasing it worth it?

It shows you which shippers pay and which push back, with the numbers. That tells you where to fix rate agreements and where to stop paying carriers without backup.

Does it need the lumper receipts?

It works best with receipts attached in the TMS or sent to a shared inbox. It flags paid accessorials that have no receipt on file.

Do I need new software for this?

No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.

What does it cost?

A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.

How is this different from a dashboard app or a free AI kit?

A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.
