For Small and mid-size freight brokerages and non-asset 3PLs with in-house reps or agents
Get delivered loads invoiced fast instead of waiting on paperwork
The load delivered, but the POD has not come in, or it came in and nobody built the invoice. Some shipper portals reject invoices for a missing reference number. Each day of delay pushes your cash out further while the carrier still wants paying.
What it can cost you
Example: $90,000 of delivered loads a week invoiced 4 days late on average = about $51,000 in cash sitting idle at any time.An illustration, not a promise. Your Opportunity Scan puts a real number on it.
What the system checks overnight
- Lists delivered loads with no POD uploaded after a set time.
- Lists loads with a POD but no invoice sent.
- Flags invoices rejected by shipper portals and the reason given.
- Tracks days from delivery to invoice by billing clerk and customer.
- Flags invoices missing references the shipper requires, such as PO or BOL numbers.
Where it reads from
- McLeod PowerBroker, Tai TMS, AscendTMS, Aljex, or Turvo
- QuickBooks Online
- Outlook (POD emails)
What happens when it fires
Your billing team works the list. The system drafts POD requests to carriers and fixes invoice references that the shipper portal rejected.
Autonomy level: Draft for approval. The system prepares the message or task, and you approve it before anything goes out.
What we guarantee
Every delivered load tracked to invoiced, with any load past your target in the next morning's brief. We agree on the metric before the Sprint starts and measure it over the first 20 business days after go-live. If we miss it, you get half your Sprint fee back. Dollar savings are tracked in your monthly saves log, reported rather than promised.
Questions
Our carriers send PODs in all kinds of ways. Can it handle that?
It reads POD emails and attachments in your billing inbox and matches them to loads by load number or BOL. Anything it cannot match gets listed for a person.
Will it submit invoices to shipper portals?
Not by default. It prepares the invoice and the corrected references, and your team submits.
Do I need new software for this?
No. The system reads from the tools you already use, with read-only access by default. A guardrail layer controls exactly which data the AI can see.
What does it cost?
A 3-week Sprint is $6,000 fixed and includes the morning brief plus one automation tied to an agreed metric. Ongoing support is $1,500 a month, or $500 a month to keep it running without new automations. If the agreed metric is missed over the first 20 business days after go-live, half the Sprint fee is refunded.
How is this different from a dashboard app or a free AI kit?
A dashboard app shows numbers when you go look. A free AI kit gives you the parts, and you do the setup, the upkeep, and the checking. Here the alarms are built for your kind of business, they watch outside data like market rates and rule changes alongside yours, and on Run or Keep-Running, the person who built them keeps them working and logs what they caught.

Seven more things worth watching.
- Thin and negative margin loadsFlag loads booked below your margin floor, carrier rate changes after booking, and reps who book thin, before the truck rolls.
- Accessorials paid but not billedMatch every accessorial paid to a carrier against what was billed to the shipper, so detention, lumper, layover, and TONU stop eating your margin.
- Buy rates drifting above marketCompare carrier cost per mile on your lanes to your own history and market rate data, and flag contract lanes the market has moved against.
- Reps moving volume at thin marginCompare margin per load, quote to book rate, and commission per rep, so you coach the reps who move lots of loads but leave little for the house.
- Shipper pay slipping while carriers quick payTrack days to collect by shipper against days to pay carriers, so your cash gap does not quietly grow while the load count looks healthy.
- Carrier authority or insurance problemsCheck every carrier before each load for lapsed insurance, authority changes, and contact details that do not match, to cut double brokering risk.
- Shipper volume quietly fallingCompare weekly loads, quotes, and tenders per shipper to their norm, so you call the account when volume starts sliding, not after it is gone.
